Owner Intake
This tells us who you are and how you want to work with us. It takes about five minutes. We will ask about each individual property separately.

We ask because the management agreement has to name the owner exactly as title reads.

If someone other than the owners can authorize repairs or leasing decisions, tell us now. Otherwise we will only act on instructions from the owners named above.

Maintenance
This is the single biggest driver of how your properties run day to day. We will confirm the specifics for each property separately.
Prefer to handle some things yourself? That works.
Whatever you take on, please take on completely: ordering, scheduling, delivery, installation, and confirming it is done. We will get your vendor access to the property.
We split by task, not by moment. If a task is yours, it is yours start to finish. If it is ours, it is ours. A task changing hands halfway through is where things go wrong.
We do not mark up maintenance, so coordinating vendors we did not hire is not something we can absorb. We also cannot track their billing or hold them to a timeline the way we can with our own.
We will ask which specific items you want to handle when we set up each property.
One exception, and it protects you as much as the tenant.
If something on your list affects habitability, heat, water, or essential services, we stay responsible to the tenant under Colorado law no matter who agreed to fix it. If it is not resolved in the time the law allows, we will arrange the repair and bill your account.
The amount we may spend on a repair without calling you first. The minimum is $500. We have entered our recommendation of $1,000, because almost any appliance repair now costs more than that, so a lower threshold means a phone call on nearly every job. Change it if you prefer.

We use our own vetted vendors by default. A vendor you prefer still needs to meet our insurance and licensing requirements.

What happens next
A short Property Intake form for each property you listed with us. Your management agreement and the necessary disclosures. A secure envelope for your W-9 and banking authorization. An email about your insurance, written so you can forward it straight to your agent.
For the banking envelope, have your tax ID ready, whether that is a Social Security number or an EIN, along with your bank routing and account numbers and a voided check. We ask for the check as a second source, so a transposed digit never sends your money to the wrong account. None of that is collected on this form. It travels through a signed, encrypted envelope instead.
